Privacy Policy

This Privacy Policy explains how Tribe ("Tribe", "we", "us") collects, uses, shares and protects personal data when you use the Tribe mobile application (the "App") and related services. Tribe is an academy-management app used by sports academies, their coaches and staff, and parents.

Important - roles. Each sports academy that uses Tribe decides what information about its members and players is entered into the App. For that information the academy acts as the data controller and Tribe acts as a data processor operating the platform on the academy's behalf. For your own account (your name, email and login), Tribe is the controller. If you have questions about a specific academy's data practices, please contact that academy directly.

1. Data we collect

Account information

When you create an account we collect your email address, password (stored only in encrypted/hashed form), first and last name, and optionally your phone number. We also store account settings such as your language, time zone, theme preference and email-verification status.

Profile and academy information

Your profile may include the academies, teams and roles you belong to. Academy administrators may provide academy details such as the academy name, an academy logo image, and address/city/country.

Player and member information

Because Tribe is used to manage sports academies, academies and parents enter information about players (athletes), which may include the player's name, date of birth, jersey number, team, attendance, match and performance statistics, and the names and contact details (email, phone) of the player's parents or guardians. Many players are minors - see Children's privacy.

Academy logo

The only image content in Tribe is the academy logo. An academy administrator may upload a logo image using their device's photo library; this image is stored on our servers and used to display the academy's branding inside the App. Tribe does not support uploading player photos, profile avatars, match photos, team media or videos.

Notifications and device data

To deliver push notifications we collect a device push token (via Firebase Cloud Messaging) and your device platform (Android or iOS). We also process technical data necessary to operate the service, such as your IP address and basic request information when the App communicates with our servers.

Data stored on your device

Authentication tokens are kept in your device's secure storage (iOS Keychain / Android Keystore). App preferences such as language and theme are stored locally. We do not use advertising identifiers.

What we do not do. Tribe contains no advertising SDKs, no third-party analytics or tracking SDKs, and we do not sell or rent your personal data. We do not collect precise location data.

2. How we use data

Where data-protection law such as the GDPR applies, we rely on the following legal bases: performance of a contract (to provide the App and your account); legitimate interests (to keep the service secure and functioning, and to communicate operational notices); consent (for example for push notifications, which you can disable at any time); and legal obligation where required. Where an academy enters player data, the academy is responsible for establishing the appropriate legal basis and any required consent.

4. Children's privacy

Tribe is intended to be used by academies, staff and adults (such as parents and guardians), not by young children directly. However, the App is used to manage information about players who may be minors, including their name and date of birth.

This information is entered by the academy or by a parent/guardian who has registered and identified their children. The academy and the parent/guardian are responsible for ensuring they have the right and any necessary consent to provide a child's information. Tribe processes this data only to provide the academy-management service and does not use children's data for advertising, profiling or any unrelated purpose.

If you believe a child's personal data has been provided to us without proper authorisation, please contact us at info@tribebt.com and we will work with the relevant academy to review and, where appropriate, delete it.

We share data only as needed to run the service:

We do not sell your personal data and we do not share it with advertising networks.

7. Data retention

We retain personal data for as long as your account is active or as needed to provide the service to your academy. Player and academy data is retained while the academy uses Tribe. When an account is deleted, or upon a valid deletion request, we delete or anonymise the associated personal data within a reasonable period, unless we are required to keep it to comply with a legal obligation or to resolve disputes.

8. Security

We protect data using industry-standard measures: encrypted connections (HTTPS/TLS) between the App and our servers, hashed passwords, token-based authentication with tokens stored in your device's secure keystore, and access controls on our backend. No method of transmission or storage is completely secure, but we work to protect your information and to address vulnerabilities promptly.

9. Your rights

Depending on where you live, you may have the right to access, correct, export, restrict or delete your personal data, to object to certain processing, and to withdraw consent. To exercise these rights, contact us at info@tribebt.com. Where an academy is the controller of the data in question, we will refer or assist your request to that academy. You also have the right to lodge a complaint with your local data-protection authority.

10. Deleting your data

You can delete your account and associated personal data at any time:

Upon a verified request we will delete your account and personal data, except where retention is required by law. Note that information you contributed to an academy (for example records the academy is required to keep) may be retained by that academy as the controller.

11. International data transfers

Our service providers (such as our hosting provider and Google's Firebase) may process data on servers located outside your country, including in the United States and the European Union. Where required, we rely on appropriate safeguards for such transfers.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the App. Your continued use of the App after an update means you accept the revised policy.
